Education Program Assistant & Teaching Artist (Full-Time, Non-Exempt)

 

Amanda Selwyn Dance Theatre/Notes in Motion seeks a highly organized, detail-oriented, mission-aligned Full-Time Education Program Assistant & Teaching Artist to join our growing team. This position supports the smooth operation of our dance education programs across NYC and plays a vital role in the administrative infrastructure that supports our Teaching Artist ensemble and our expanding school partnerships.

The Education Program Assistant & Teaching Artist works closely with the Director of Education to ensure that programs run efficiently, partner schools are supported, Teaching Artists are well-coordinated, and the daily workflow of our education operations is cohesive, timely, and mission-aligned. The role includes a full time schedule combining approximately 25–30 hours/week of administrative work with 10–15 hours/week of teaching, depending on weekly programming needs.

The ideal candidate is a thoughtful communicator, highly organized, comfortable managing a fast-paced workflow, and passionate about dance education and the values of Notes in Motion.

Position Details:

- Employment Type: Full-Time, Non-Exempt (Hourly)

- 35-40 hours/week on a set schedule determined by Director of Education balancing Program Assistant (approximately 25-30 hours/week with Teaching Artist work 10-15 hours/week)

- Compensation: $20/hour for administrative hours, $45/hour for teaching hours.  Hours logged on monthly timesheet. Paid on a W2 as an employee.

Schedule:
The Education Program Assistant & Teaching Artist is expected to follow a consistent work schedule as set by the Director of Education and keep records of her working hours on a monthly timesheet.  Program Assistant shall meet deadlines and program needs with professionalism, accuracy, and reliability. The schedule includes in-school hours for observations and partnership support, teaching hours, and flexible administrative hours.

Responsibilities
I. Administrative Responsibilities. Supporting the overall functioning, quality, and coordination of the education department, including but not limited to:

Program Workflow Management:

- Review, track, and respond to Teaching Artist journal logs to maintain clear communication and program oversight.

- Conduct Teaching Artist observations, providing written and verbal feedback aligned with Notes in Motion’s rubric and best practices.

- Support curriculum review, providing feedback to Teaching Artists and collaborating on materials, structure, and alignment with program objectives.

- Input, update, and manage program schedules, school calendars, culminating event calendars, and meeting calendars across Google Workspace, Salesforce, and Network for Good.

Financial & Operational Tracking:

- Manage invoices, purchase orders, reimbursements, and payments in Polaris.

- Support data collection, evaluation tracking, and maintaining accurate program records.

- Assist with distribution, logging, and tracking of program evaluations, as well as coordinating meetings with schools to review outcomes.

Program & Event Support:

- Provide administrative and onsite support for culminating events, including scheduling, planning, logistics, and communication with school partners.

- Assist with family engagement initiatives, partner welcome packets, program documentation, workshops, and special events.

Teaching Artist & Staff Support:

- Support Teaching Artist onboarding, communication, professional development sessions, and ongoing training and development initiatives.

- Maintain strong communication with the Teaching Artist ensemble, supporting clarity, consistency, and alignment with organizational values.

Partnership Development:

- Represent Notes in Motion professionally in schools and community settings, maintaining responsive communication and supportive relationships with partner leaders and staff.

- Assist in cultivating new school partnerships, conducting outreach, attending meetings, stewarding relationships, and identifying opportunities for program expansion.

- Draft proposals, partnership materials, school communications, and program documentation.

 

II. Teaching Artist Responsibilities

As part of the full-time role, the Education Program Assistant serves as a Teaching Artist regularly within Notes in Motion public school programs, following our pedagogical frameworks and organizational values.

Teaching responsibilities include:

- Teaching high-quality dance classes grounded in the Movement Exchange Method and the Five-Part Class Structure.

- Lesson planning, preparing materials, and arriving at schools 10–15 minutes before each session.

- Creating age-appropriate choreography and preparing students for culminating events.

- Completing journal logs within 48 hours of each session.

- Attending and actively participating in all required Teaching Artist meetings, professional development sessions, and company-wide events.

- Maintaining professional attire, communication, and conduct in school settings.

- Collaborating with other Teaching Artists, sharing best practices, and contributing to a supportive and inclusive ensemble culture.

 

III. Organizational Responsibilities

As a full-time staff member, the Education Program Assistant & Teaching Artist also participates in:

- Company-wide events and productions

- Fundraising initiatives

- Marketing and community engagement efforts

- Organizational meetings, trainings, and planning sessions

 

Qualifications:

- Strong administrative and organizational skills with the ability to manage multiple, detailed projects simultaneously.

- Excellent written and verbal communication skills.

- Experience in dance education, arts administration, or nonprofit program coordination.

- Experience teaching dance in public school or community settings.

- Ability to work independently, meet deadlines, and take initiative.

- Comfort working across diverse communities and representing the organization externally.

- Technologically proficient; familiarity with Google Workspace, Salesforce, Network for Good, and Polaris a plus.

- Alignment with Notes in Motion’s mission, pedagogy, and values.
