Event Coordinator

We are hiring 2 part-time non-exempt employees as event assistants who provide crucial administrative and logistical support to our OiR Director, Artist Residency Manager, and community partners. The event assistants contribute to planning, vendor coordination, venue setup / cleanup, and on-site execution to ensure smooth operations. Responsibilities include managing schedules, preparing materials, registering guests, and troubleshooting issues. Weekend availability is required. Pay starts at $18/hour, for 20-30 hours per month.

Key Responsibilities

Planning & Admin: Assist with scheduling, budgeting, and preparing materials like program brochures and agendas.

Logistics & Vendor Management: Liaise with vendors and suppliers, manage inventory of supplies, and ensure branded items arrive on time.

On-Site Execution: Help set up and dismantle venues (tables, chairs, decorations) and provide on-site support during the events.

Guest Services: Welcome guests, manage registration desks, and assist with Members.

Coordination: Act as a central point of contact during events to handle issues and support the event managers.

Required Skills and Qualifications

Organizational Skills: Ability to manage multiple tasks and deadlines.

Communication: Excellent verbal and written skills for vendor and client interaction.

Flexibility: Ability to work weekends.

Technical Proficiency: Strong knowledge of Microsoft Office/Google Workspace and experience with Canva a plus.

Customer Service: Strong interpersonal skills to resolve attendee issues calmly.

Education/Experience: high school diploma + 1 year (minimum) of events management and production experience.

Submissions must be received by April 3rd.
