About the Role

Steps on Broadway Academy is seeking an organized and proactive Program Coordinator to support the day-to-day operations and communications of our varied training programs.

This is a full-time role for someone who thrives in a collaborative dance education environment and enjoys building systems, managing logistics, and ensuring clear, timely communication across a large and active community of students, families, and faculty.

Working closely with Academy leadership, the Program Coordinator serves as a key operational partner helping to keep programs running smoothly while enhancing the overall experience of our families and staff.

 

Key Responsibilities

Shift Coverage Management

- Manage substitute coverage for faculty, musicians, teaching assistants, and administrative staff

- Ensure consistent and reliable staffing across all Academy programs

- Maintain organized tracking systems related to scheduling and payroll

Front Desk Leadership

- Train and onboard new team members

- Develop and maintain efficient front desk systems and workflows

- Provide desk coverage as neededCommunication & Community Engagement

- Supervise and support front desk administrative staff

- Coordinate and distribute clear, timely communication to families, faculty, and staff

- Plan and manage communication calendars to ensure advance notice of key dates and events

- Create templates and systems that support consistent messaging

- Collaborate with internal departments to align communication across the organization

Programs & Events

- Support planning and logistics for performances, workshops, and special events

- Assist with auditions, student placement processes, and data tracking

- Prepare and distribute program materials, including schedules and rehearsal guides

Curriculum & Training Support

- Coordinate logistics for curriculum development initiatives

- Support organization of faculty training and professional development programs

- Maintain emergency preparedness plans and support faculty preparation

- Assist in building internal training resources for administrative staff

 

Required Qualifications

- Experience in an administrative, operations, or program coordination role

- Exceptional organizational skills with strong accuracy and detail

- Excellent written communication skills, including drafting clear, professional, and timely emails and an autonomous process for proofreading

- Ability to manage multiple priorities and deadlines

- Strong problem-solving skills with the ability to make decisions independently

- High level of reliability, responsiveness, and follow-through

- Proficiency with common software tools (Google Workspace, Microsoft Office, Asana (or similar task-management) and Canva (or similar creative design)

- Availability to work some evenings and weekends in alignment with program needsPreferred Qualifications

Preferred Qualifications:

- Experience working in a dance education environment for grades Pre-K through 12

- Experience coordinating schedules or staffing (e.g., substitute coverage, shift management)

- Prior experience training staff (front desk, interns, or assistants)

- Experience developing or improving operational systems and workflows

- Comfort handling parent or client-facing communication in a service-oriented environment

- Experience supporting special events, performances, or multi-day programs

- Familiarity with learning management systems (e.g., Google Classroom) or training program development

- Interest in dance education, youth programming, and pre-professional training environments

Compensation

- $20 - $25 hourly, commensurate with experience
