Office Manager

Ballet Tech seeks an administrative professional with strong communication and organizational skills to serve as its Office Manager. Reporting to the Director of People & Culture, the Office Manager plays a central role in creating an organized, welcoming, and efficient environment that supports the daily operations of the school and administrative offices. This position oversees front desk operations while supporting office administration/technology, facilities, and People & Culture initiatives. The ideal candidate is proactive, service-oriented, and an effective problem solver who enjoys collaborating across departments to ensure students, faculty, and staff have the support they need to thrive.

 

Essential Duties & Responsibilities:

 

Front Desk & School Support

-Answer phones, respond to general inquiries about the school/admissions process, and redirect calls to appropriate Foundation staff or academic school
-Assist students dismissed from class with sign in/sign out procedures and direct them to the appropriate staff

-Serve as the first point of contact for students, families, faculty, staff, visitors, and community partners
-Manage Sign In App security check-in system for Ballet Tech
-Receive and distribute mail and deliveries
-Help maintain a calm, organized, and welcoming reception area and common spaces

Office & Administrative Operations

-Manage office supply inventory and place orders as needed
-Support day-to-day administrative operations across departments
-Assist with event preparation, staff meetings, and organizational initiatives
-Maintain conference room schedule
-Help keep the staff kitchen organized and tidy

Facilities & IT Support

-Communicate maintenance requests to the Building Manager
-Assist with workplace safety procedures and emergency preparedness efforts
-Assist with basic technology setup for meetings and events
-Coordinate with external IT vendor and internal staff regarding support requests
-Troubleshoot minor office technology issues and escalate as needed

People & Culture / HR Support

-Assist with employee onboarding processes
-Support interview scheduling and candidate hospitality
-Assist with employee engagement activities, celebrations, and culture initiatives
-Provide general administrative support to the Director of People & Culture

 

Required skills and experience:

1-2 years in an administrative, customer service, or office management role
Excellent written and verbal communication skills
Strong interpersonal skills
Self-motivated and independent
Exceptional organizational skills
Tech savvy
